Booking & Reservations

What to expect when requesting, confirming, changing, or managing chauffeur transportation.

We recommend reserving as soon as your travel details are confirmed, especially for early morning airport departures, major events, holidays, group transportation, or a specific vehicle type. Advance notice gives our team more time to confirm availability, review the itinerary, and assign the best vehicle for your passengers and luggage.

We also accommodate time sensitive requests when availability permits. You may submit a reservation request online or contact our team directly for urgent travel.

Yes, same day and last minute requests may be accommodated based on chauffeur and vehicle availability. For the fastest response, call or text 646.901.6582 rather than relying only on an online form.

A request is not considered confirmed until our team verifies the itinerary, vehicle, and pricing. When time allows, advance reservations remain the best option for airport chauffeur service and other schedule sensitive transportation.

Yes. Executive assistants, family members, travel coordinators, and corporate teams regularly arrange service for other passengers. Please provide the traveler’s full name, mobile number, itinerary, pickup instructions, luggage details, and any preferences that may help us coordinate the ride.

Reservation and trip communications can be directed to the booking contact, the passenger, or both, depending on your preference.

Yes. The cardholder does not need to be the passenger. We may require a secure payment authorization and billing information before confirming the reservation. For corporate or recurring travel, our team can also discuss account setup and approved billing arrangements.

For security, payment card details should only be submitted through the secure authorization method provided by Carter’s Concierge.

We generally need the service date, requested pickup time, pickup and destination addresses, passenger count, luggage count, contact information, and preferred vehicle type. Airport reservations should also include the airline and flight number. Multi stop, hourly, group, and event requests should include the complete itinerary and any timing requirements.

The more detail you provide, the more accurately we can recommend a vehicle and prepare your chauffeur.

Yes. Contact us as soon as possible with any change to the date, time, flight, pickup location, destination, passenger count, stops, or vehicle needs. We will review the request and confirm whether the change affects availability or pricing.

Changes are not final until acknowledged by our team. Significant itinerary changes may be treated as a new service request or may fall under the applicable cancellation terms.

You will receive a written confirmation after availability, itinerary details, vehicle selection, and payment arrangements have been finalized. Submitting an online form by itself does not guarantee service.

Please review the confirmation carefully and notify us immediately if any information is incorrect. Additional trip reminders or chauffeur details may be sent closer to the service time.

Airport Transportation

Professional airport chauffeur service for EWR, JFK, LGA, TEB, and other regional airports.

Yes. For airport arrivals, we use the flight information provided in the reservation to monitor the scheduled and updated arrival time. This helps our dispatch team and chauffeur prepare for delays, early arrivals, and gate changes that may affect the pickup.

Flight monitoring supports coordination, but passengers should still keep their phone available after landing so we can provide terminal specific meeting instructions.

We monitor the flight and adjust the arrival pickup plan based on the updated landing time whenever possible. You generally do not need to contact us for a routine airline reported delay, although you should notify us if the airline changes your flight number, airport, or travel date.

Extended delays, diversions, cancellations, and schedule changes may affect chauffeur availability or pricing. Our team will communicate with you if the original arrangement must be modified.

Your meeting location depends on the airport, terminal, vehicle access rules, and whether curbside pickup or meet and greet service has been arranged. Arrival instructions are typically sent by text and may ask you to confirm when you have your luggage and are ready to proceed to the designated pickup area.

Because airport traffic procedures can change, follow the most recent instructions from our team rather than relying on a prior trip’s meeting point.

Yes. Carter’s Concierge provides private, professional chauffeur service to and from EWR for executives, corporate travelers, families, and private clients. Service is available between Newark Airport and destinations throughout New Jersey, Manhattan, Westchester County, Fairfield County, and surrounding areas.

Please note that in the reservation. Passengers traveling with carry on luggage may be ready sooner than travelers waiting at baggage claim. After landing, follow the arrival message and let us know when you are ready to meet the chauffeur.

Accurate luggage information also helps us select the right vehicle. A small party with several large bags may need more cargo capacity than the passenger count alone suggests.

Contact us as soon as you know baggage will take longer than expected. This allows dispatch to coordinate with the chauffeur and explain any waiting time or schedule impact. Do not leave the airport pickup area or make alternate arrangements without notifying our team.

Pricing & Billing

How quotes, charges, payment arrangements, waiting time, and cancellations are handled.

Use our price quote form and provide the date, requested time, pickup and destination addresses, passenger count, luggage, vehicle preference, and any stops or special instructions. Airport requests should include the airline and flight number.

Our team reviews each request because final pricing depends on the complete itinerary, timing, vehicle selection, expected duration, tolls, parking, and availability.

An online estimate is a planning tool and may not reflect every detail of the trip. Final pricing is confirmed after our team reviews the itinerary, timing, vehicle, passenger and luggage needs, stops, airport fees, tolls, parking, and other applicable charges.

Please rely on the written quote or reservation confirmation issued by Carter’s Concierge rather than an unconfirmed estimate.

Your quote or confirmation will show the charges included in the reservation, including any suggested chauffeur gratuity or service related fees. Review the pricing summary before approving the trip so you understand what is included.

Additional gratuity is never required but may be offered at the passenger’s discretion for exceptional service.

Tolls, parking, airport fees, and other itinerary related expenses may be included in advance or added based on the actual trip. The treatment of these charges depends on the service type and information available when the quote is prepared.

Your written quote or confirmation is the best source for what is included. Contact us before the service date if any item is unclear.

Most reservations are secured with an approved credit card through our secure payment process. Corporate accounts and organizations with established billing arrangements may have additional options subject to approval.

Payment requirements are confirmed before service. Never send full payment card details through ordinary email or text unless directed to a secure authorization page.

Cancellation terms depend on the vehicle, service type, itinerary, location, and amount of advance notice. Specialty vehicles, group transportation, events, affiliate service, and peak dates may have longer cancellation windows or nonrefundable commitments.

The best vehicle depends on passenger count, luggage volume, trip length, comfort preferences, and the type of engagement. Executive sedans are well suited to one or two travelers. Premium SUVs provide additional passenger and luggage space. Sprinter and group vehicles support larger parties and coordinated movements.

Yes. Our premium SUVs are frequently selected for airport travel, executive transportation, families, leadership movement, and small groups requiring more room than a sedan. They offer increased luggage capacity while maintaining a professional presentation.

Vehicle make, model, color, and configuration may vary based on availability. A specific model is only guaranteed when confirmed in writing.

Yes. Sprinter and group vehicle options are available for corporate teams, airport groups, meetings, events, roadshows, and coordinated arrivals or departures. Seating and luggage capacity differ by configuration, so passenger count alone is not enough to select the vehicle.

Provide the total number of travelers, luggage pieces, mobility needs, and itinerary so our team can recommend the correct configuration.

Often, yes, with the correct vehicle. Tell us about checked bags, carry ons, golf clubs, ski equipment, presentation materials, mobility devices, or other oversized items before booking. A vehicle that fits the passengers may not have enough room for all belongings.

For safety, luggage cannot block aisles, exits, or passenger seating. We may recommend a larger vehicle or an additional luggage vehicle for substantial cargo.

Child seat arrangements may be available with advance notice and are subject to the vehicle, child’s age and size, location, and availability. Please state the required seat type when requesting service.

Families may also provide their own child safety seat. The responsible adult should confirm that the seat is appropriate for the child and may be asked to assist with or approve its installation.

You may request a specific model or vehicle style, and we will make every reasonable effort to accommodate it. Unless the exact model is confirmed in writing, reservations are generally guaranteed by vehicle category and capacity rather than by make, model, color, or model year.

Operational needs, maintenance, weather, or last minute circumstances may require a comparable or upgraded substitute.

Vehicles are prepared to support professional airport, corporate, private, and event transportation. Our standards emphasize cleanliness, maintenance, presentation, and suitability for the assigned itinerary.

Before dispatch, the team reviews vehicle capacity and trip requirements. Please share special requests in advance so they can be evaluated and noted on the reservation.
